TEACH is seeking an experienced Executive Assistant to be a supportive force and optimize our CEO’s efficiency and effectiveness. The Executive Assistant will provide administrative support, thought partnership, decision-making assistance, and forecast the CEO’s needs. The successful candidate is a proactive problem solver with excellent organization and communication skills, and meticulous attention to detail.

About TEACH

Founded in 2011 and home-grown in Philly, TEACH offers exceptional tutoring and educational programming K-College. TEACH’s tutoring approach starts with building strong relationships to promote both academic and social-emotional development through creative, engaging lessons. In a typical academic year, we serve upward of 1500 students through classes and 1-on-1 tutoring, 75 educators through teacher professional development, and coordinate partnership programs with 25-30 local schools, charter networks, and nonprofits. The majority of our partnerships extend over multiple years and grant cycles. Our team believes that education can be a powerful experience that disrupts the systemic inequities that students, families, and communities face in the Greater Philadelphia area. We strive to increase educational opportunities for students by offering programming at no cost to families through grants with external partners, internal TEACH scholarships, and our Get 1, Give 1 initiative for 1-on-1 lessons.

Executive Assistant Responsibilities

    Manage CEO’s calendars (company-wide shared calendar, personal company calendar, and Calendly software) and email correspondence.

    • Ensure appropriate individuals are included on invites and calendars are synchronized.
    • Coordinate, prepare for and attend meetings; organize materials, draft agendas, take notes, and save documentation to the appropriate location.
    • Manage event registration and related calendaring organization.
    • Update Calendly software weekly according to the CEO’s availability.
    • Organize conferences and potential networking opportunities into a spreadsheet; support the CEO in determining what to attend/skip.
    • Organize inbox and respond to correspondence as needed; flagging important emails in daily check-in with the CEO.
    • Book hotel and airfare for work related travel (typically 2-4 times per year).

    Recruitment, sales, and marketing support

    • Email CEO’s Calendly link to networking connections as part of our sales process.
    • Support the CEO with creating new marketing documents in Canva or a similar platform and getting those documents professionally printed.
    • Order and maintain inventory of all marketing materials: fliers, mugs, t-shirts, pencils, notebooks, and other marketing items for events, partners, and staff.
    • Register for and set up the marketing table at events. Print all required marketing materials, distribute materials at the event, manage the sign in sheet, email visitors after the event, and upload new contact information into the CEO's contact list.
    • Support CEO and Director of Business Operations in managing all current and prospective customer information in new Customer Relationship Management (CRM) software.
    • Manage TEACH’s email list and email list software.
    • Post on LinkedIn, Instagram, and other social channels.
    • Schedule and calendar interviews.

    Create systems and document processes

    • Capture and organize CEO’s current systems in both written and video formats to build out a complete Executive Assistant playbook. Create new systems and capture those processes in the playbook as well.

    Manage the TEACH office

    • Book conference rooms
    • Coordinate guest passes with Mindspace staff for various TEACH events
    • Provide printing support
    • Manage company inbox account and TEACH phone
    • Inventory and organize school based and office supplies
    • Organize and replenish resources in the office as needed

    Coordinate logistics for company-wide events

    • Identify locations and communicate with vendors
    • Manage the the guest list and invitations
    • Oversee the budget for the event
    • Set up and handle logistics before, during, and after the event

    Other duties as assigned

    Required Qualifications

    • This position offers some flexibility in work hours; however, applicants must be available to work in the office or on-site 2-3 days per week as needed. This is a hybrid role requiring 15-24 weekly hours onsite; the remaining hours can be performed remotely
    • Highly organized and detail oriented; demonstrates strong ability to follow through
    • Can work efficiently and autonomously; is self-sufficient, but knows when to ask for guidance/clarification
    • Strong written and verbal communication skills
    • Has an ability to prioritize while managing multiple projects simultaneously
    • Proficiency in Microsoft Office, and Google Drive, and an interest in learning additional project management tools/technology



    Preferred Qualifications

    • Prior experience as an Executive Assistant or in a sales or marketing role is a plus, but not a requirement for consideration.
    • Prior experience working with a CRM, project management tools, marketing software like Canva, and/or calendaring software like Calendly.
    • Previous knowledge or experience with school system operations, ideally in the Greater Philadelphia area or other city (as an educator, a caring adult, mentor, volunteer, or community member); or previous knowledge or experience with tutoring/after-school programs in a school or other setting.
    • Access to a car for tabling and other events.



    Compensation

    • A full-time, salaried position with competitive compensation starting at $40,000 (35 versus 40 hours per week) commensurate with experience
    • 140-160 hours of paid time off plus another 15-20 days of paid vacation for Summer Break, Winter Break and TEACH Holidays
    • Eligible for participation in group 401K plan (up to 4% company match) after six months of employment
    • Eligible for premium medical and dental insurance benefits on the first day of the month following 2 months of full-time employment
